Do you need to collaborate on documents with other Departments or with an external user (outside the District)?
Prerequisite
Sharing is only allowed on Division/Department, Project or Program Team sites or via Shared Channels.

1) Go your document library
2) Click on the the 3 dots of the folder or file you want to share > Select Manage access

3) Click on the Share

3) Type the guest email
Select the permission level (read or edit access)
Add a message (optional)
Click Send button

4) The external user will get an auto-email notification. He/she will need to authenticate to access the folder or file.
📌 NOTE: Permissions expire every 90 days so you need to renew access if necessary.
When sharing files, ensure that you:
- Grant access only to those who need it
- Assign appropriate permission levels (View, Edit)
- Review and update access regularly to maintain security
- Remove access for individuals who no longer require it
